Searching within a Web page - Video Tip

This tip falls in the category of "wow, that's easy to do, I wish I would have known about it long ago!"

When you are on a particularly long web page and need to find a term or phrase, click on Edit from your menus, then Find (or Find in page on some browsers). The keyboard shortcut is Ctrl + F. You will be presented with a small window that allows you to enter a word or phrase and then the computer will look for that word on the page and bring you right to it.

As with many other features, Mozilla Firefox's implementation of this feature is superior to all other browsers, as it gives you helpful extras like find the next or previous occurrence of the word or phrase you are looking for and even has an option to highlight all the occurrences on the page. (See the accompanying picture).

This tip is especially helpful for genealogy researchers. Sometimes your eyes can become crossed looking for a surname in a sea of text. Use the find function instead and cut your work and eye strain in half!

If you need to look for the same term again on the same page, you will notice that the function gives you the option to find again without retyping.

This type of search works best with single words, but you can experiment with phrases as well.

You can also use the Find function in Word Processing documents, email, spreadsheets, and PDF files as well.

Watch the short video below to see this tip in action in both Firefox and Internet Explorer.

Backup Your Favorites (Bookmarks) - Video Tip

Many years ago, I shared with you how to back up your address book. We have talked about how to back up your favorites, but never written it down. This tip will walk you through saving your favorite places in case of a disaster. Even if you have thousands of favorites, they will easily fit on a floppy disk (if you still have one) or better still, a USB Flash drive.

Import Outlook Contacts into Gmail WITH Street Addresses

After running into this issue one to many times lately, I finally found a fast solution. Problem: Outlook users who want to export their address books (contacts) and import them into Gmail can get almost everything imported except street addresses. It's maddening. Madness be gone, the solution is now just a few steps away.

Exporting your contacts from Outlook:

Open Outlook (note this is NOT Outlook Express)

Click File --> Import/Export

Click Export to a file

Click Next

Click Comma Separated Values (Windows) option

Click Next

Click Contacts from the list of your
7 ways to become a more efficient web user - Video Tip

This is a reintroduction and retitling of a previous video/tip because of a copyright infringement complaint from Franklin Covey. Hopefully, the new title and verbiage will satisfy their legal staff.

All week long I help computer users of all ages and experience levels. Too often, I see that many computer users (beginners and experienced alike) do not utilize or know about some basic web browsing skills that will speed their work and give them less problems when using the Internet.

In this week's tip, I will highlight the inefficient habits computer users use and replace them with tips that will make YOU a quicker and more profecient web user.

1. Using an old browser

No matter how old your computer is or what operating system you are using, DO NOT USE INTERNET EXPLORER 6 (IE 6). IE 6 is late 20th century technology and is not compatible with much of the web today and it also poses the greatest security risks.

Instead, use

Firefox or Internet Explorer doesn't display all pictures or backgrounds

For some reason, I have seen this issue about six times in the past few weeks with Windows XP computers. The browser (both Firefox and/or Internet Explorer) symptoms include:

Web sites don't display all images

Text seems distorted

Backgrounds don't display

The solution to your browser not displaying the images or backgrounds properly is removing the high contrast setting in the Control Panel. Here's how:

Click Start

Click Settings --> Control Panel

Double-click the Accessibility options

Click the Display tab

Un-check the "use high contrast" box

Click Apply

Click OK

If your web site viewing is looking a little goofy, and pictures, menus and text aren't displaying properly, give these steps a try!

Make reading the web easier than ever - Video Tip

Although we now have 19" and larger monitors on most new desktop computers, the text seems to shrink. Why is that? It has to do with screen resolution (how much information can be displayed). Screen resolutions on today's monitors are up to 3X that of monitors we used just 6-8 years ago. We can see a lot more information, but often the text is too small to view for some computer users.

Never fear. Using this week's tip, you can easily and quickly enlarge the text of any web page using only your keyboard and mouse. This tip will work with any web browser (Internet Explorer, Firefox, Opera, Safari, etc) and any operating system (Windows, Ubuntu, Mac OS X).

All you need is a mouse with a scroll wheel and your keyboard. This tip can be performed without the mouse as well, but I'll touch on that later. First, when you are reading a web site, particularly news web sites and blog type sites like mine, look for an indication of a printer friendly page. Often designated as Printer Friendly, Print this article, or simply Print, clicking this link brings up a version of the article you are reading that is much less busy and cleaner than how the article presents on the web page itself. This alone may make enough difference for readability.

However, you can quickly increase the size of the text you are reading by holding down the Ctrl key on your keyboard and spinning your mouse scroll wheel away from your body (towards the computer monitor). Amazing, no? Holding down the Ctrl key and spinning towards your body (away from the monitor) will shrink the text again.

The same result can be achieved by holding down the Ctrl key and pressing the "+" or "-" keys as well. I think the mouse method is a little more intuitive and elegant.

Watch the short video below to see this tip in action and see the web as never before!

Participating and/or Moderating Email Discussion Groups

Last month, John, a GJ User Group regular, suggested I lead a discussion about email discussion groups, sometimes known as mailing lists. I thought it was such a good idea, that I made it this month's User Group topic. Email discussion groups allow emailers with a particular passion for a hobby, political leaning, medical infliction, educational purpose or any other common thread to share ideas, debate, and dialogue via email. Many discussion groups have left email and exist entirely online as discussion forums which allow for even more instant feedback and easier ways to share links, photos, videos and more.

To find discussion groups you can join, try these four techniques:

The association or organization's web site that heads up the cause, hobby, etc.

Search for your interest followed by email discussion group (ex: African violets in dry climates email discussion group)

Go to and search Yahoo! Groups

Go to and search Topica

Unfortunately, discussion groups can be a hunting ground for email spammers to gather up email addresses. I recommend using a different email address than your every day address for these groups. When you sign up, you will generally have the option of receiving updates every time someone writes to the group, a daily digest of all posts for the day or a weekly digest of all the new posts for that week. For busy discussions, the daily digest is best. If you are fanatical about your group, go for the immediate notifications. You also have the option of changing how you receive messages at any time.

If you want to create your own email discussion group or list, use either the Yahoo! Groups or Topica services. Yahoo and Topica have matured over the years and merged with other smaller services morphing into easy to manage, powerful systems.

Creating an email group in Gmail - Video Tip

I'm thrilled that so many people are heeding my advice and starting to use Gmail. Search Gmail here at the site to find three how-to videos about Gmail to see why so many people are jumping to Gmail.

New Gmail users frequently ask me how to setup an address group in Gmail. Groups allow you to send a single email to a group of people in your address book by addressing the message to the group instead of the individuals in the group.

To create the group:

In Gmail, click the contacts link

Click the New Group icon

Type a name for your new group

Click OK

Click All Contacts

Place a check mark in the boxes of the contacts you want to belong to your new group

Click the Groups menu

Click the name of the group you want for them

That's it! It makes more sense watching it being done so watch the video below to see these steps in action AND see how to use your group after you have built it!

Thankfully, more and more home computer users are securing their wireless networks. Most newer wireless routers offer to automate the whole process which works pretty well. However, if you are wanting a little more control, I recommend the following advice for setting up a wireless router:

Google Earth - The Dime Tour - Video Tip - September 2008

If you have high speed Internet and haven't tried Google Earth, give it a try. Even if you aren't a geography buff, you will find Google Earth to be a fascinating resource to try out. Google Earth is another free product from Google that combines their excellent searching skills with a fully interactive globe. You can search for street addresses, points of interest, historical locations and then layer on other geographic information to your liking. You must have a high speed Internet connection because the application relies on that connection to pull in the information you want from Google's servers.

The newest version of Google Earth also adds Google Sky which lets you look into the heavens from your desk and learn and enjoy the starts, planets, and whatever other gassy objects are up in the sky.

Watch my short introductory video about this great product, then go try it for yourself. If you already use Google Earth, leave a comment below and tell me what you like and what you do with Google Earth.
